Who we are and what this covers

ADAPTIVE TECH INC ("Adaptive Tech", "we", "us") provides intake and client-communication software to law firms. If you received a text message or a link from a law firm and used it to answer questions about your situation, you were using our software, operated on that firm's behalf.

This policy explains what we collect, why, who we share it with, and what you can ask us to do. It covers our platform. It does not cover the law firm's own practices; the firm decides what happens to your information once it has it, and the firm is the one you have a relationship with.

Our role

For information about you as a prospective or current client of a law firm, the law firm decides how that information is used and we act on the firm's instructions. In privacy law terms the firm is the controller and we are the processor. If you want your information corrected or deleted, the fastest route is to ask the firm. You can also contact us directly and we will route the request and assist the firm in answering it.

For information about law firm staff who hold accounts with us, we act on our own behalf.

What we collect

We collect your name and contact details; the content of the messages you exchange through the platform, in your language and in translation; your answers to intake questions; your description of what happened; and any documents or images you upload, which for personal-injury matters commonly include photographs of injuries, medical records, and police reports. If you use voice intake, your speech is transcribed as you speak; we keep the transcript, not a recording.

We also collect technical information such as your IP address and request identifiers, which we use for security and to keep an access record.

Some information reaches us from other sources: a law firm may upload contact details it already holds, or a lead may reach us from an advertising platform or form service the firm uses. We keep a record of what arrived and from where.

Why we use it

To deliver your information to the law firm you contacted. To conduct the intake conversation and organize what you tell us into a case file for that firm. To translate between your language and the firm's. To send you messages and access links. To keep the platform secure, prevent abuse, diagnose faults, and keep an access record. To meet our legal obligations.

Automated processing

The intake conversation is conducted by an automated system using artificial intelligence, not by a person. The same technology reads documents you upload, writes the summary the firm reads, and translates messages. A person at the law firm reviews that material and makes every decision about your matter. No automated decision about whether the firm takes your case is made by our software.

Text messaging

When you enter your mobile number on a law firm's intake page and agree to receive text messages, ADAPTIVE TECH INC sends texts on that firm's behalf: a secure link to complete your intake, reminders while your intake is unfinished, and updates about your case, such as notice that the firm has answered a question. Message frequency varies. Message and data rates may apply.

You can stop text messages at any time by replying STOP; we record that request and check it before any further message is sent. Reply HELP for help, or email support@adaptivetech.com.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Your mobile number is used only to deliver the messages described here.

Who we share it with

With the law firm you contacted. With service providers who help us run the platform: an artificial-intelligence provider that supplies the models; a messaging provider that delivers text messages; a speech provider for voice intake; an observability provider that receives system prompts and generated response text so we can monitor quality; and hosting, storage, identity, error-monitoring, and email providers. Each is bound by contract to use the information only to provide their service to us.

We may disclose information where compelled by law. If we receive a legal demand for material held for a law firm, we will notify the firm before disclosing wherever we are legally permitted to, so the firm can assert privilege or seek protection.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

How long we keep it

We keep client records, messages, intake answers, case files, and uploaded documents for seven years from the last activity on the matter, which reflects the periods in which legal claims can be brought. Our access log is kept for six years and is retained separately from the records it describes, including after a firm leaves the platform. Operational logs are kept for 30 days. Access links expire automatically and are stored in a form that cannot be reversed. Files a firm uploads for bulk import are deleted 90 days after processing.

Your choices and rights

You can stop text messages at any time by replying STOP to any message.

Depending on where you live, you may have the right to know what personal information we hold, to get a copy, to correct it, to delete it, and to be free from discrimination for exercising those rights. Because we hold your information for a law firm, ask the firm first. If you contact us at support@adaptivetech.com, we will acknowledge your request and work with the firm to answer it.

Some information cannot be deleted on request: we keep our access log for its full retention period as a security and compliance control, and a law firm may be required by its own professional obligations to retain your file.

How we protect it

Each law firm's data is isolated at the database level, enforced by the database itself rather than by application code alone, and that isolation is re-verified automatically every time we change the software. Access to protected records is recorded in a log written in the same transaction as the action, so an action cannot be recorded without its access record. Links we send are single-use and expire. Staff sign in through a dedicated identity provider and sessions expire. Diagnostic data sent to our error-monitoring provider is scrubbed of contact details and access tokens before it leaves our systems.

No system is perfectly secure. If you believe your information has been accessed without authorization, contact us and the law firm you worked with.

Children

The platform is not directed to children and we do not knowingly collect information from a child except where a parent or guardian provides it in the course of a matter involving that child. If you believe a child's information reached us otherwise, contact us and we will address it with the law firm.

Changes and contact
